A notification for prior checking will be sent to the EDPS. At the European Court of Auditors one Register of processing operations concerning personal is existing, for all Directorates and Services, called the Register of the Data Protection Officer (DPO). Controllers are writing their notifications on the processing of personal data to the DPO into this Register. A workflow system supports the preparation process of notifications. In order to identify and authenticate the participants in the notification process, personal data relating to them have to be processed. The notifications including the names and contact data of controllers will be accessible through the Register by anybody. The access to the information system NDPO&R is only allowed to registered users, who have a defined role in the notification process. From the Access to the Register any person can send an electronic request message to the controller for a selected notification. The audit includes the examination of application files containing the documents required by the selection criteria, like diplomas and certificates on working experiences. Part of the agricultural expenditure includes payments for goods exported outside of the European Union. Payments as such are done by paying agencies, however monitoring is applied on exports (Regulation (EC) 386/90). The ECA auditors analyse accounting data, make selections and review customs and commercial documents. Part of the review work includes assessment of quality of IAC staff (ICS 22). Discussion on the working of ICS 14 may lead to processing of personal data of DG AGRI staff where ICS 14 has been indicated to be applicable. The Evaluation of certifying body (CB) work include reperformance of substantive testing by the CB. The basis for this reperformance is the selection of payments made by the CB, where the CB's assessment of the payment is compared with the data and documents available at the paying agency. For this task the database with data provided by Member States based upon Regulation 595/92 is used to analyse Commission efforts to effectively follow up exceptions reported and to select notifications for audit. The data are processed to verify the legality and regularity and the Audit of management procedures (recruitment, correctness of payments made to staff employed by agencies as well as to promotion, etc), salaries, allowances for staff employed verify the legality an regularity of the recruitment and the administrative by Agencies status of the staff. In addition, data are processed to verify the legality and regularity of public procurement procedures.

5 /09/2008 Head of Unit DHR Medical service Examens ophtalmologiques Les fonctionnaires et agents peuvent bénéficier d'un examen ophtalmologique tout les 2 ans. Un formulaire leurs est envoyé dont les données requises sont : le nom, le prénom, le numéro personnel, le bureau et le téléphone de la personne concernée et sa signature.ces coordonnées sont à retourner au Bureau d'accueil et des Affaires Sociales. Par la suite une convocation leurs sera envoyée, indiquant la date et l'heure de l'examen. Le médecin-ophtalmologue recevra un tableau récapitulatif - avec noms, date et heure - regroupant les agents ayant le rendez-vous ce jour. Si il y a prescription pour des lunettes de travail sur écran, la personne concernée envoi au BAAS, après acquisition des lunettes, la facture de l'opticien, l'ordonnance de médecin-opthalmologue et l'attestation du supérieur hiérarchique certifiant que l'agent travail plus que 4 heures par jour sur écran. 6 97 21/07/2008 Head of Unit DIT Infrastructure system system provides a functionality for users to send electronic mails both within the Court and outside the Court. It also provides the functionality to store s; drafted, received and sent ones. The system consists of a proper system and a webmail system which is a replicate of the mail databases. Every user has an invidividual address in the system and the mails are stored in his/hers individual database. The address consist of the first name and last name of the person. Inside the Court the address includes also the Audit Group the user works for or if the user works within the Secretary General only SecGen. Outside the Court the address includes the domain name of the Court, i.e. eca.europa.eu. In the Court's address book one can also find the telephone, fax and office number and the unit the the user is working for. The personal data has three different types of usage: 1) The s are sent from a person to a person, so the address consisting of the person's credentials must be stored electronically. The address is used to find the recipient. Storing the sender makes is also possible to reply to the sender. 2)There is an official address book and a private address book. The official ECA address book is stored in the system and can be used to find for instance the telephone number of a colleague. The private address book is stored in a person's maildatabase and can be used by that individual to record his/her contacts. Furthermore, the institutions have agreed to provide each other electronic address books, containing the e- mail address, name, telephone number and office number. These address books are stored on the wellcome page of the system. 3) The body of an can contain personal data. It is stored in a maildatabase of the recipient /06/2008 Head of Unit DIT Infrastructure ORACLE operation system logging The Oracle operating system creates automatically logs for all the events. Most of these logs do not contain any personal data. However, there is one log per database where use of the data is recorded. The used telephone numbers are published in a directory so that one can find the telephone number a person or function/location. An auditor is able to view the same information and the same number of weeks in ART as in the Flexitime system (Efficient) The head of Division for that auditor will be able to view the information for the auditor as well as for him- or herself. In ASSYST, there is a module for time recording. Gestion des dossiers personnels As central financial system of the Council, SAP is used for the following processes : - Contract management - Purchasing - Budget management - Financial accounting, including asset management - Cost accounting & controlling - Statistical purposes SAP will use 3 kinds of personal data : 1/ Staff & Third Party information for payments, and management reporting of staff related costs / expenditures (automatic) 2/ Asset User information (windows login if relevant, first and last name, office number) for management of the assets 3/ SAP User information for audit trail and system authorizations All contracts or purchase orders identify the products that can be bought and make a reference to the relevant legal entity data but do not contain additional data specific to the third party. The Asset User can be any staff or third party who works at the Court, independently of the fact that he or she is an SAP user. The SAP User is any person (staff or third party) who has access to SAP. There are different roles for the SAP Users. The main roles are described below. For further information on the roles in SAP, please check the annexes. - Initiating Agents who can create and edit contracts, purchase orders, or block budget amounts (forecast).
