1 Notice of Annual General Meeting & Call for Nominations Saturday, October 27, :00 3:00 p.m. EDT Overview Equal Voice is hosting its Annual General Meeting (AGM) on Saturday, October 27 from 1 3 p.m. EDT. The meeting will take place via live web and/or audio-conferencing to facilitate nationwide participation. There will be host locations in most provinces where chapters exist (see list below). At these locations, members in good standing will be able to participate by audio-conference or web-conference. Equal Voice is also exploring the feasibility of off-site participation for those members in good standing who would like to participate from their home. More information will be forthcoming on this. To qualify as a member in good standing, you must have paid your membership within the last year. New and renewing members must have paid their membership by no later than Monday October 22 at noon ET. At this year s AGM, EV seeks to report on our activities, to vote on financial statements for the years 2010 and 2011, to establish the numbers of directors, and to elect/re-elect some members of EV s National Board of Directors. Membership Fees Membership fees are $50.00/year or $10.00/year for youth, students or low income (self-declared). We strongly encourage you to join or renew on line at When processed online with payment, your membership is effective immediately. Membership fees are shared between the national office and local chapters. 40% of membership fees go to your local Chapter and the remaining amount goes toward sustaining EV s national web site, programs, and public awareness activities. Call for Nominations EV currently has a nationally based board of directors of 14 individuals. By vote of the EV board, the national board will be expanded to 16 positions, seven of whom will be elected at this AGM, and nine of whom are held by chapter chairs who are chosen by their chapters. Four individuals now currently serving as national directors (and are not ex-officio and do not represent chapters) are seeking election or re-election to the board as at-large directors. Equal Voice welcomes expressions of interest by all individuals who wish to be elected to a seat on the National Board. All those elected/re-elected will serve two year terms. 1

2 If you are interested in putting your name forward for one of seven at-large seats on the National Board of Directors please submit a biography (one-page maximum) no later than Monday October 22 at noon EDT to our Nominations Chair, Monica Lysack, at mlysack@sasktel.net. Voting by Proxy For those who are unable to attend the AGM in person, Equal Voice permits its members to vote by proxy. This allows any member in good standing to authorize another member in good standing who is attending one of the meetings in person to cast their votes for them. Written notification, indicating who you are giving your proxy to, must be submitted to EV at agm@equalvoice.ca no later than Wednesday, October 24 at midnight.. 2

6 Assemblée générale annuelle nationale d À voix égales Le samedi 27 octobre 2012 De 13h à 15h, HAE Contexte À voix égales tiendra son assemblée générale annuelle le samedi 27 octobre, de 13 h à 15 h HNE. Pour faciliter la participation à l échelle du pays, la rencontre aura lieu par webconférence. Des emplacements hôtes dans la plupart des provinces où il existe des chapitres d AVE (voir la liste ci-dessous), permettront à nos membres en règle de participer à l AGA par téléconférence ou par webconférence. Les membres en règle sont celles qui ont payé leurs frais d adhésion au cours de l année dernière. Les nouvelles et celles qui renouvellent leur adhésion doivent s être acquittées de leurs frais avant le lundi 22 octobre 2012 à midi HAE. Pendant l assemblée générale, nous vous présenterons notre rapport d activités, nous approuverons les états financiers des années 2010 et 2011, nous déterminerons le nombre de nos administratrices et nous élirons ou réélirons des membres au conseil d administration national d AVE. Frais d adhésion/devenir membre Les frais d adhésion sont de 50$ par année, ou 10$ par année pour les jeunes, les étudiantes et étudiants ou les personnes à faible revenu (sur parole). Nous vous invitons avec enthousiasme à devenir membre ou à renouveler votre adhésion en ligne au Si vous payez en ligne, vous devenez membre immédiatement. Les frais d adhésion sont répartis entre les paliers national et locaux d AVE. Votre chapitre local reçoit 40 % des frais récoltés et le reste sert à défrayer les dépenses encourues pour le site Web, nos programmes et les activités publiques et de sensibilisation d AVE à l échelle nationale. Mises en candidature Notre conseil d administration actuel est composé de 14 membres. Par décision du CA, ce nombre passera à 16 membres, dont sept seront élues pendant la présente AGA. Neuf de ces positions seront occupées par les présidentes des chapitres qui sont élues dans leurs régions respectives. Quatre personnes agissant présentement comme directrices nationales (et qui ne sont pas élues d office ni ne représentent un chapitre) se présentent pour être élues ou réélues au CA. 6
