3 GENERAL INFORMATION FOR EXHIBITORS LABEL ON THE BOXES The following pieces of information must appear on each box that is sent to the hotel so there is no loss or confusion. 1. Name of the event. 2. Name of the company and/or exhibitor. 3. Date of the event. 4. Name of the room where the merchandise must be delivered. 5. Booth number in the case of an exhibit. 6. Name of the Convention Service Manager 7. Hotel address: Le Westin Montréal 270 St.Antoine West Montreal, Quebec H2Y 0A3 * If your shipment is heavy (more than 25 pounds) or has large dimensions, please contact the Convention Service Manager. It is highly recommended that you use GES for your advance shipments. The Westin will not accept shipments for the CLMC 2015 Congress until Thursday June 18, 2015 and they have limited storage so items may be refused. Hotel will charge a handling and storage fee from 1.00 per box/item and 75 per pallet, the charge will be added to the master account for any material sent to the Hotel. Hotel will not be responsible for any loss or damage to materials sent to Hotel. CUSTOMS If your exhibit material is being shipped from the USA, the goods must be customs cleared. A customs broker will facilitate the process for you; however you must contact them at least six weeks prior to your meeting. LIVINGSTON EVENT LOGISTICS Tel: ext.23 Fax: RECEPTION & EXPEDITION In order not to create any conflict with the arrival of other merchandise, you must contact Nathalie Julien at in order to coordinate the arrival and the departure of your equipment. The merchandise receiving is located in the alley between St.Antoine and St.Jacques streets and it is opened Monday to Friday, 8h00-12:00 and 13:00-16:30. After these hours, please contact the security, dialling 0 on the telephone at the entrance. Please note that access is limited to 1 truck at the time and trucks of 53 feet (16 meters) length cannot back up in the receiving area. Maximum size is 30. ** WE HAVE NO DOCK, necessary equipment: tailgate or ramp for the unloading, and a jigger handling and transportation of the equipment in the hotel are not the responsibility of hotel. Your manager can organize the handling of your equipment at a cost of / hour for a minimum of 4 hours**

4 When you are not using a transportation company for the merchandise handling and exhibitors are on their own for shipping. A security agent will be required, at your cost, to manage the in/out process. STORAGE Le Westin has NO STORAGE SPACE AND CANNOT ASSURE THE SECURITY of dispatched equipment before the beginning of the congress or the exhibits. If you dispatch a big quantity of equipment, we strongly suggest you to call a transportation company. Please inform your manager of your projects. EXPEDITION OF EXHIBIT EQUIPMENT TO THE HOTEL 1. Equipment serving to the exhibition can be dispatch to the hotel maximum 3 days before the date of the set up. If the equipment is sent in advance, the merchandise reception will refuse the cargo and send the truck driver to nearest warehouse and that to the expenses of the exhibitor. 2. If there is no agreement with your manager, Le Westin Montréal does not accept COD load. 3. All the equipment left on site after the dismantling will be returned to the warehouse to the expenses of the exhibitor. EXPEDITION OF EXHIBIT EQUIPMENT BACK TO YOUR OFFICE 1. Each exhibitor needs to prepare their boxes along with completed waybills (address of shipper must absolutely be that of the hotel s.) 2. You must have all the details of the client (phone number and/or ) so that we may communicate with them if more information is needed. 3. If the boxes must pass customs, assure that there is a description of what is in the boxes. 4. If you leave the boxes near the space of the exhibit, we will handle the displacement to our loading dock for pick-up. 5. Attention: a. We cannot ship boxes via Canada Post, only companies such as FedEx, UPS, Purolator etc. b. If the client does not have an account with a courier, we must be supplied with a credit card, otherwise we cannot ship the packages. DIMENSION OF ELEVATORS AND FREIGHT ELEVATOR The freight elevator is available from the loading dock. It can handle a maximum of 8,000 pounds. The dimensions of the freight elevator are 7 8 wide by 18 7 depth, 9 high. The doors measure 6 11 height by 6 7 wide. SECURITY Even if Le Westin Montréal has it s own Security Service, 24 hours a day, our personnel is not responsible for keeping an eye on the equipment or material left in meeting rooms. The Hotel can lock some doors of rooms limiting the access to organizers and security personnel only. Your Manager can explain more in details. ** Le Westin Montréal does not guaranty the security of any material left in meeting rooms even if the doors are locked. SECURITY DURING THE EXHIBITS AND MEETINGS

5 1. It is the responsibility of the organizers to ensure the security of the exhibit during set-up, breaks and closing hours. 2. Le Westin Montréal strongly suggests the use of its security personnel if needed. The cost is 40,00 / hour for each agent (minimum 4 hours). Please contact your Manager. ELECTRICAL NEEDS FOR EXHIBITS AND MEETINGS 1. You must be precise concerning your electrical needs. We must know how many outlets, how may ampere and volt. 2. All electrical requests must be done in advance. 3. The Hotel can supply a maximum of 200 amps 3 phase, the cost is 4.00/amp, you must provide your own equipment. 4. Should you require an electrician on weekdays from 8am to 4pm Should you require an electrician on weekend, night time or Holidays USAGE OF SMOKE OR HAZE MACHINES In order to abide by the City of Montreal s fire regulations during a smoke show, a Hotel security agent must be present in the room at all time including rehearsals when the smoke detectors are deactivated. A fee of per hour (minimum of4 hours each time) will aply. You must get authorization in advance from your convention manager or the hotel security before using a smoke or haze machine. A 2,700 fine will be charged to your account if the alarm goes off when using a smoke or haze machine without prior authorization. CAR EXHIBIT Group will be responsible for assuring that no damage is caused to the Hotel as a result of exhibiting a car in the Hotel. As such, the Group must make sure that the gas reservoir is empty, and that the battery is disconnected and preferably removed from the car. As well, the group must take every precaution in preventing any leaks or marks on the carpeting by installing the car on a suitable surface that adequately distributes the weight of the car and is spill resistant. Any damages caused by the move-in, move-out and exhibit of the car will be the sole responsibility of the Group. As such the Group will assume the cost of any repairs or replacement that may result. Insurance: Each party will maintain insurance sufficient to cover any claims or liabilities which may reasonably arise out of or relate to its obligations under this Agreement and will provide evidence of such insurance upon request.

Commercial release processing is fully explained in Customs Memorandum D17-1-S. Under certain circumstances, the CBSA will require a security deposit on goods temporarily imported to Canada. These goods are normally documented on the Temporary Admission Permit (Form E29B). At the time of exportation, goods granted temporary admission on a Form E29B or Carnet must be presented along with importer's/owner's copies of the appropriate documentation to CBSA for verification and certification. This presentation may occur at a CBSA office inland or at the port of export, depending on the circumstances involved and is necessary for you to receive a refund of any securities posted.
