10 OUR VISION OF THE FUTURE PLATFORM TECHNICALLY AND FUNCTIONALLY A single multi-sites platform Use of a CMS allowing autonomy to the administrators and the contributors A single back-office for the management of all the websites with a simplified back-office for the different types of contributors Establishment of a unique restricted access throughout the platform. A logged in user may access to the entire authorized content for its profile and to the collaborative platform without having to re-log in. Establishment of a website factory allowing the creation of PV websites in BO GRAPHICALLY AND ERGONOMICALLY Create a real access portal to the data: gathering news, description and possible links to PV sites, Projects databases, access to the collaborative platform and to private information Create a coherent graphic charter across the galaxy of the ECTP websites. Creation of a signature-banner for the websites of the ECTP galaxy, composed by the logo and the link to the portal, or even the menu of the portal. 13 THE SOLUTION The ez Publish solution allows (non-exhaustive list) : Development of the site: creation of new pages, new sections, change of the tree, change of the content, etc. via the administration interface. Multi-positioning of content: the same content can be positioned in several places, and the change of the source content changes all the shortcuts content. Automatic layout of the information in accordance with the defined templates design. Integration of files: the solution can integrate documents such as jpg, pdf, doc, xls, ppt, flv, etc. Pictures are automatically resized and optimized to the desired sizes, and are defined in the templates. Each entry is composed of sub-headings, which unfold in the left vertical menu. Specific extensions that we are going to put in place for your project will be available in additional tabs located after these 5 items. 16 TREE MANAGEMENT Native feature ez Publish allows you to manage the tree of the site and its customization via the back office. You can create, modify, move, delete pages and sections. Each page or item can be renamed, hidden (to all or a part of the Internet users through access login/password.), copied, pasted or moved easily. 20/08/

17 MULTI-SITES TREE Novactive has developed specific expertise in deploying multi-site through the principle of "Site-Access, one of the strengths of the ez Publish CMS. Thus, the deployed platform for your project will include in the back office, a tree of the sites and all the content will be administered via the same interface. We will set up a "mini websites factory" allowing the administrators of the platform to implement and configure new PV sites, and even projects sites. 23 USER MANAGEMENT ANS RIGHTS Native feature ez Publish provides a very precise users management, even if they are visitors or contributors. The solution enables you to manage different user populations across different profiles. Only people authenticated as users will have access to the content management tool via a signature (username and password). The site administrators can create as many users as they want and can customize their access: username, password, profile and workspace. The profile determines the user privileges (access to a particular topic or content, writing and/or reading of such content, etc). Indeed, a user may have different rights depending on the parts of the site: it can be a contributor in a part of the site, validator in another and administrator in a third. At each connection to the back office, each user will access to a Home page integrating relevant dashboards, corresponding to the profile and the rights in the workflow. We propose to implement this access for the content in private access of the portal and for the collaborative platform. Thus, a user logged on the portal will view the content for which it has permissions to access and will access to the collaborative platform without having to relog. This extension allows the users to perform in advanced searches more particularly in the project database via a system of filters. 36 MAILINGLISTS MANAGEMENT AND NEWSLETTER Extension EZ MAILING Novactive has developed a specific module: ez Mailing, fully integrated to the back office, facilitating the generation of newsletters. This module allows you to: THE FULL SUBSCRIBERS MANAGEMENT : Full database of subscribers for the marketing campaign: A subscriber can be defined by the following fields: address, zip code, city, country, State, phone, fax, company, profession, gender (M/F), date of birth, marital status, number of children, number of people living in the home... Subscription form: The registration form is customizable It can be fully integrated into the site design (modification of HTML, CSS...) 40 COLLABORATIVE TOOL ez Team Room Extension It is a tool for collaborative work. The module supports teams in the planning and the execution of their projects. The exchange and sharing of information can be done at any time. A messaging function allows users to stay informed about issues and changes to their projects: latest updates are displayed on the user page but the user can also ask to be notified by . The module will support project management, participant management, managing calendars, shared projects, and sharing space (storage and/or exchange of documents) ez Team Room allows each user to have its own workspace that displays only what he/she needs or is allowed to see. In back office: objects could have the following attributes: type of project, start date, end date of the project, date and name of the project, short and long text, favorites management, create a new workspace... 20/08/

41 COLLABORATIVE TOOL Extension ez Team Room ez Teamroom is an ez Publish extension that makes teamwork simple. As a powerful collaborative tool it is designed to support teams in planning and executing their projects. Unlike most project management instruments, ez Teamroom particularly focuses on the availability of exchanging and sharing project information at any time. By building on the experiences made from Web 2.0 in supporting communities, knowledge bases like e.g. Wiki or forums and journals, ez Teamroom encourages team members to share and interact. As a project management tool, ez Teamroom allows you to plan, manage and control projects. You can easily plan and document milestones and tasks, organize schedules, calendars and events. Also each user has his own unique and personal space which only displays what he needs or is allowed to see. By allowing team members to share and discuss all types of information, the communication is optimized. Example : Frontpage of a project An added bonus is that by directly involving all project members in the process of planning and information exchange, ez Teamroom helps the development of a stronger identification towards the "managed" project and as such, contributes to create a team identity. 42 COLLABORATIVE TOOL PERSONAL PAGE After logging in, each user is provided with a personal page and user-specific content. Among other things, users have an overview of all teamrooms which they are members of. In the upper right corner, you have the icons which allows you to log out, view and manage your profil, the teamrooms, and see a sitemap. Also boxes are shown which allow the user to easily access and overview his teamrooms. By default these boxes are Create Teamroom, My Teamrooms, All Teamrooms, Latest Messages and Lightbox selection. All boxes can be minimized or closed, and additional ones added by clicking the Add new widget button. The icons in the upper right corner are very useful and remain visible no matter where you are on site. 20/08/

43 COLLABORATIVE TOOL TeamRoom Front Page The teamroom frontpage is also different for every user, because the user himself decides which blogposts, wiki's, calendar posts or other information will be displayed on the frontpage. Included on the page, is also present a list of all team members, which ensures an easy overview of all existing members. On this basis, new members can be invited to join the TeamRoom and existing members may also be deleted. Members also have specific duties assigned to them by TeamRoom and the possibility exists to appoint a team leader who will receive extensive rights. The management of these user rights can not be made by the moderator. 20/08/

46 COLLABORATIVE TOOL Extension ez Team Room Exemple : affichage des événements Milestones and Calender With all projects come planning, milestones and deadlines. The milestone feature allows users to sum up tasks and important deliveries for an intermediate deadline. Also included is the possibility to adapt and reschedule tasks. To oversee events, ez Teamroom is set up with a common calendarfunction where team members can share and keep track of events, tasks and milestones. All members are able to create new events, milestones and tasks which are automatically displayed in the common calendar for all team members to see. 47 COLLABORATIVE TOOL Extension ez Team Room Document management Besides task management, document management is also provided to ensure that team members have access to all documents which are related to their project. The possibility of version control exists which allows users to view or download for example an older version of a document. On the Files page of any accessible teamroom, a list shows the files related to that teamroom. Files can easily be uploaded one by one or simultaneously.
