List of participants : 1. Rooms : The exact number of participants must be confirmed with the list of names at the latest one week before the date of the meeting. 2. Restaurants : We work with four restaurants and we need to communicate them, at the latest one week before the date of the meeting, the definitive number of flatware. 3. This exact number of rooms and participants will serve as final base for the invoice. The Management might cancel the reservation if events of force majeure or coincidences forced him (strike, fire, water damage, etc.). Cancellation rules : Any cancellation made unless 30 days of the date of the meeting will pull the not refund of the paid deposit. Any cancellation arising between 24 hours and 8 days before the date of arrival of the participants will pull the invoicing of 50 % of the price of the reserved and cancelled services. For any cancellation 24 hours before the date of arrival of the participants, as well as for "no-show", the hotel will charge all ofthe reserved and cancelled services. Organization of the demonstration : Rooms will be available for participants of the demonstration from 15 hours, in the daytime of the seminar and they must be released before 12 am, the last day of the seminar. Extras : All the extras (telephone, bar) must be paid directly by each participant before their departure. For lack of payment of these services by the participants, these sums will be directly charged to the customer who is jointly responsible for their payment. Recommendations : The organizer obliges to invite only persons whose behavior may, in no way, carry damage to the hotel which reserves the right to intervene if need be. The customer can bring from the outside neither drink, nor any foodstuff. In the case of demonstrations having a character of exhibition of materials or valuables, we advise to our clientele to sign to its expenses an assurance which can cover any damage that these could undergo, whatever is the place where these materials would be stored (room, conference room, parking, etc.). Case of dispute : Any dispute which would not have been able to be amicably adjusted between the parties will be the only competence of the court of Nimes.
