4 4 The project of the «University of the Greater Region» The UniGR Early-Stage Researchers Days 2013 (ESRD) Seminar is one of the most important seminars organised for young researchers in the framework of the Interreg IVa project University of the Greater Region UniGR. For those who aren t familiar with THE UniGR yet UniGR is a cross-border network of 6 universities spread across 5 regions in 4 countries in the heart of Europe. The universities of Saarbrücken (Saarland), Trier, Kaiserslautern, Luxemburg, Lorraine and Liège decided in 2009 to intensify their collaboration and to create a common «university network project». The major aim has been to increase the mobility of students, researchers and lecturers, to develop the offer of international courses and to enhance research, with the assistance of a professional administration. Improve mobility by: Simplifying administrative processes (e.g. enrolment procedures) Access to the courses, libraries, cafeterias and other university organisations and student services Lower-priced public transport for students throughout the Greater Region in cooperation with the regional authorities and transport companies Expand the courses and teaching available at the partner universities through: New study programmes with double or joint degrees Cross-border cooperation including the coordination of courses and solving recognition issues Cross-border courses in the form of bloc seminars Strengthen cross-border research and doctorate training by: Networking of researchers Reserving large research devices on a mutual basis Close cooperation in the area of doctorate training (soft skills, «cotutelles de thèse», i.e. a thesis supervised in two countries, etc.) More than 120,000 students, 6,500 lecturers and thousands of researchers belong to this

5 5 network. Teaching and research training are given in German, French and Luxemburgish as well as in English as a common language. Researchers benefit from the services and infrastructures provided by other universities: joint research, thematic workshops and conferences, pooling of scientific infrastructure and equipment, and cooperation in cross-border training for PhD candidates. PhD candidates will also have the possibility to ask for a UniGR label and benefit from a lighter administrative procedure in case of joint supervision. As such, UniGR is a network of excellence where PhD candidates and researchers are welcome and find real added value for the development of their careers. For those who would like to know much more about THE UniGR Visit our website : Greater Region The ESRD Seminar will be an opportunity to present the Greater Region in concrete terms to the PhD candidates, as well as to the training and organising teams: a common effort, integrating people from all six partner universities, with a variety of nationalities and cultures. 6 6 The UniGR ESRD 2013 In 2011, the first UniGR European Doctoriales took place in Ventron, France, and it was a real success. The aim of this residential seminar, improved by the French universities, is to spread tools, practices and views on professional life during and after the process of obtaining one s PhD. This year, the seminar will take into account more specifically the needs and multicultural context of the UniGR PhD candidates, who are considered, according to the European Charter and Code, as early-stage researchers. It will focus on project management and teamwork in a multicultural and multidisciplinary context, considering the Greater Region s identity You are 60 participants from the different universities and you will be trained by experts in an open-minded way. You will learn about project management (not only in research) and group dynamics assessment, how to work in a team, how to be confident, and how to assess your own skills. To think about what you can bring to a team To experience interculturality in practice To sharpen your communication skills (briefly presenting yourself and your work) Objectives: 1. To become more familiar with the basics and tools of project management and to experience it in a multicultural and interdisciplinary environment. 2. To become more aware of personal and professional skills. The professional and personal skills acquired during one s PhD work are transferrable to different kinds of projects. Missing skills have to be developed. 3. But also: To learn about the possibilities opened beyond the PhD work, to Think outside the box and to increase your awareness of different career options To enhance your creativity To develop your leadership The added value of the seminar: The seminar has a real added value by making young researchers more aware about their competences and work, and by allowing them to grow and mature as professionals. Participants will be trained by experts experienced in both project management and academic didactics. State-of-the-art knowledge and project management methodology will be delivered with a handson approach. Outdoor activities, role plays, teamwork exercises, simulations and a criminal case will challenge the participants creativity and wits. Setting off on these adventures with a multidisciplinary and multinational team makes this seminar a particularly unique and invaluable experience.

7 Details concerning the programme 7 Day 1 After the participants have arrived and have checked into their rooms, a welcome coffee will be served in the plenary room. At 11:00 am the UniGr-ULg Project Coordinator, Isabelle Halleux, will talk about the UniGr-project, and Ansgar Berger, the Coordinator of the trainer team, will give a short introduction about the seminar agenda. Then the 60 participants will be divided up into four teams, aiming for maximum diversity in terms of area of research and nationality/university. These teams will set off on an adventurous outdoor activity after lunch. Continuing with their teamwork, the participants will evaluate the outdoor event and have a closer look at team roles, leadership, stages of team development and their own strengths. Finally, they will have to answer the question what makes a group of people and especially a highly diverse group of people a successful and efficient project team? The first day is concluded with leisure activities, such as sports, an improvisatory movie theatre and a SingStar contest. Day 2 The morning of the second day will begin at 8:30 am in the plenary room with a short introduction to the basics of project management and the presentation of Project X. This bittersweet case of a typical project nightmare will provide a story that will be referred to in each of the following project stages. Beginning with the project-initiating stage, the participants will work out a product idea and try to visualize their vision of Product X. Subsequently, they will engage themselves in a difficult and tricky contracting role play, acting as stakeholders and project team members. After lunch the planning stage begins, and as a first step standard planning tools like WBS (Work Breakdown Structure), Gantt and PERT Chart are introduced and applied to the Project X case. The afternoon will see some blood and a criminal case is opened. Murder on the project team EN

8 8 Day 3 Day 4 After starting again in the plenary room at 8:30 am, the participants will return to their groups and resume working on the project execution phase. They will be dealing with different forms and levels of conflict and trying to work out conflict management strategies that can be applied in the context of project management and Project X, of course. The stage of project closure will show the participants what is needed to bring a project to a good end, and after lunch there will be some spare time to prepare for the seminar highlight: the project presentations of the four teams. In fifteen minutes, each team will give their interpretation of Project X. Following each presentation, the experts who have already arrived for the science dinner will provide detailed feedback on the presented deliverables. After the presentations, all participants are invited to Meet the Experts in a casual open-space event to conclude the day. Moving from table to table, the participants can discuss some critical project management issues with the experts or ask questions about career options for PhDs. On day four, the participants will tie up the loose ends of the previous days and evaluate the seminar activities on an individual and collective level. Guiding questions for this stage will be: Which strengths can I build on when I have to manage projects and especially when dealing with diverse teams? ; Which competences should I develop in the near future to improve my project management skills? and How can I apply what I have learned so far to my PhD project?. After lunch, the evaluation of the seminar itself will take place back in the plenary room, and around 3:00 pm it is time to say our goodbyes.

9 Presentation of the trainers 9 Trainers coordinator: Ansgar Berger What makes a successful team? How can a team be motivated to excel? What can be done to facilitate better teamwork? These questions have been accompanying me for quite some time in my professional and private life. As a coach of a multinational Rugby team and as a work and organisational psychologist collaborating with companies and project teams, I face the same questions and challenges every day. My experiences so far tell me that there is no easy answer. Every organisation and team has its own rules and you have to find very pecific answers to the questions listed above. What really helps a team, both on the pitch and within a meeting room, is a hands-on approach, and managing to create an atmosphere of learning free from pressure and misdirected ambition. This is something that I would like to bring to this seminar. Let us have some splendid days where everybody is able to get in contact with exciting new things and can develop his or her project management skills. l Christine Syrek: trainer Since 2007 I have been a research assistant and teacher at the Department of Work and Organisational Psychology at the University of Trier. In the projects I am working on, we focus on integrating organisations to create practical applications from an early stage on. The multidisciplinarity of the teams we work with enhances creativity and flexibility to address challenges from different angles. In my teaching and workshops I pursue an application-oriented approach, in which established research models and results, as well as research out of the box, build the basis for the discussion of practical implications. Working with teams to creatively find new solutions with interactive and fun-filled activities is what I enjoy most about my work. My aim for the workshop on project management is that the participating PhD candidates will gain more knowledge on how to organize a project from A to Z, how to tackle the problems that each project manager has to face, and how to react more flexibly to changes and surprises. I am very much looking forward to four days of thought-provoking discussions, productive trainings and fun projects. l EN

10 11 Thierry Chantraine: trainer After graduating as a Civil Engineer (Aero) from the University of Liège in 1985 (consolidated through a Superior Cycle of Management at ICHEC Brussels in 1998), I spent almost 20 years in the aerospace industry. In 1992, I joined Techspace Aero (a subsidiary of Safran Group), where I was in charge of various positions in the Manufacturing, Quality, Engineering and MRO departments. In 2008, I became the General Manager of the newly created Belgian subsidiary of Pratt & Whitney. (CSL), an applied research centre attached to the University of Liège, where I m also in charge of several courses related to Project Management (HEC faculty). My approach is basically to share my experience in project and change management with the students. I m focused on the key aspects increasing the chance of success of any given project, widely related to the human factor, with some technical tips. A project is like an exploratory expedition. You will not embark on it without a good preparation, a versatile toolkit and an agile mindset. l By August 2011, I took up the General Manager position of the Centre Spatial de Liège Corinna Peifer: trainer My name is Corinna Peifer and I am a Psychologist, Trainer and Coach. In my current position I am a lecturer and research assistant at the department of Work and Organisational Psychology at the University of Trier. I specialize in project-oriented seminars, where I teach students to transfer their knowledge into practice. Project Management is a very exciting topic for me, as it is applicable to a wide range of activities, so it definitely deserves a closer look! What will I bring to the process? My knowledge and experience in Project Management as Work and Organizational Psychologist, my experience in working in intercultural and interdisciplinary workplaces and projects, and my skills as a behavioural trainer and coach. I am very much looking forward to working in this interdisciplinary and intercultural setting after all, working with different people from different backgrounds broadens our perspectives in life. l

11 Silke Bündgens: trainer During my PhD at the Department of Business Psychology at the University of Trier, I have been responsible for managing the consulting projects of the department. These projects with major regional and international companies involve problem and goal clarification as well as the development of new solutions and advice for their implementation. By taking part in a training programme for behavioural coaches in 2012, I learned further techniques and methods for involving various stakeholders in a company or members of a team in problem solving, change, and conflict resolution processes. I am delighted to have the chance to make use of this knowledge and support the joint learning process of a group of young researchers. My philosophy as a trainer is to help people uncover the knowledge they have already acquired in various situations and make effective use of it in new contexts. Thanks to my studies in New York and international research collaborations, I have had the pleasure of working with and befriending people from various national and cultural backgrounds. Thanks to these extraordinary experiences I am convinced that diversity is what gives a team the unique chance of getting to know and profit from various perspectives. Therefore, I am looking very much forward to the prospect of working together with young researchers from six different universities with a diverse cultural, functional and linguistic background. l 11 Andreas Sonderegger: trainer Completing a PhD-thesis is for the most part a very complex and tough project which comes with a great number of insecurities and difficult decisions. Based on my experience in project management - I worked on different software and HR projects, supervised many student projects, managed two research projects and completed myself a PhD-project successfully - I will be happy to share some clever hints and useful strategies with the participants of this workshop that will help them complete their own PhD-project successfully and in time. Being located at the University of Fribourg, right at the border of the German and French speaking part of Switzerland, culture and its influence on work and collaboration has always been a great interest of mine. Actually, I work as post-doctoral research fellow on two projects in which we (among other things) try to understand how cultural background influences virtual teamwork and product interaction and evaluation in usability tests. l EN

12 11 UniGR Project officers, part of the trainer team: Christine Normann, UniGR project officer at Trier University, ESRD co-coordinator Currently I am working as a project officer for doctoral education and research in the UniGR-project at Trier University. Being responsible for the internationalization of the doctoral education I am glad to welcome you to the Early-Stage Researchers Days 2013 and to train you on project management in an intercultural and interdisciplinary context a challenge which we project officers face in our every-day working life. Before joining the UniGR-project, I worked as a political sciences lecturer and obtained a German-French PhD focusing on EU research. Research stays in several countries allowed me to analyze various approaches towards European policy and as we will see during our seminar, the understanding of the different perspectives of the involved actors is also a very important aspect in project management. l Ophélie Ladrière, UniGR Project officer at the University of Liège, ESRD coordinator As for Christine, I am working as a project officer for doctoral education and research in the UniGR-project, at the University of Liège. During my PhD (marine ecology), I realized the importance for doctoral candidates to develop skills that are transferable to other professional contexts, to acquire tools for a good management of projects and to experience interculturality! Moreover, we would like to develop a career guidance service for our Early-Stage researchers. 13 11 Isabel Rohde project assistant at Saarland University Julie Remy project assistant at the University of Liege And also behind the scene: Virginie Laye project officer at the University of Luxembourg Laurie Wolff project officer at the University of Lorraine Isabelle Halleux (Director of R&D administration in the University of Liege) as UniGR-ULg coordinator and expert I am a geological engineer and I obtained my PhD in Applied Sciences at the University of Liège. I built up my post-doctoral career in a Governmental Research Institute for the Environment in Belgium, after a research stay in the École Polytechnique de Montréal and the Geological Survey of Canada. Since 2002, I m in charge of the R&D Office at ULg. So I have had what you might call a «mixed career» of researcher and project manager. My office manages the institutional aspects of research (research councils, ULg internal projects and calls, cooperation, international relations) as well as Doctoral affairs. Moreover, we help the researcher with writing projects and to administratively operate their projects. I specialized through Life Long Learning, Education and Training technologies, Group dynamics, Institutional Analysis and Development actions, and I m now strongly involved in developing seminars and training for PhD candidates as well as researchers in Wallonia and abroad (Cross-border networks, Europe through projects supported by EU FP7 and Western and Central Africa). I m really aware of the European Charter and Code and I m leading its implementation (HRS4R initiative) at ULg l EN

14 11 Le projet «Université de la Grande Région-UniGR» Le séminaire «UniGR Early-Stage Researchers Days 2013 (ESRD)» est l un des séminaires les plus importants organisés pour les jeunes scientifiques dans le cadre du projet Interreg IVa «Université de la Grande Région UniGR». Pour ceux qui ne connaissent pas encore l UniGR... UniGR est un réseau transfrontalier de 6 universités dans 5 régions de 4 pays différents au cœur de l Europe. En 2009, les universités de Sarrebruck (Université de la Sarre), de Trèves, de Kaiserslautern, du Luxembourg, de Lorraine et de Liège ont décidé d approfondir leur collaboration et de créer conjointement un «projet de réseau d universités». L objectif principal est d accroître la mobilité des étudiants, des scientifiques et des conférenciers afin de développer l offre de cours internationaux et d améliorer la recherche, à l aide d une administration professionnelle. Augmenter sa mobilité grâce à : la simplification des formalités administratives (ex : procédures d inscription) ; l accès aux cours, aux bibliothèques, aux restaurants universitaires et autres organisations et services étudiants ; des tarifs avantageux pour les transports en commun à l attention des étudiants à travers la Grande Région, en collaboration avec les autorités régionales et les sociétés de transport en commun. Renforcer l offre de formation disponible au sein des universités partenaires grâce à : de nouveaux doubles diplômes ou diplômes conjoints ; des coopérations transfrontalières avec une offre de cours coordonnée et une reconnaissance mutuelle des crédits ; des séminaires transfrontaliers. Renforcer la recherche transfrontalière et la formation des doctorant(e)s grâce à : la mise en réseau des scientifiques ; la mise à disposition d équipements rares ; une coopération étroite dans la formation des doctorant(e)s (capacités transversales, cotutelles de thèse internationales, etc.).

15 11 Plus de étudiants, 6500 conférenciers et des milliers de scientifiques appartiennent à ce réseau. Les cours et la formation scientifique sont donnés en allemand, français et luxembourgeois, ainsi qu en anglais comme langue commune. Les scientifiques profitent des services et des infrastructures fournis par les autres universités : recherches communes, ateliers et conférences thématiques, mutualisation des infrastructures et des équipements scientifiques, coopération transfrontalière en matière de formation doctorale. Les doctorants ont également la possibilité de demander un label UniGR et de profiter de formalités administratives allégées en cas de supervision conjointe. UniGR est donc un réseau d excellence au sein duquel les doctorants et les scientifiques sont les bienvenus et trouvent une réelle valeur ajoutée pour le développement de leur carrière. 16 11 Le séminaire UniGR ESRD 2013 En 2011, le premier «UniGR European Doctoriales» s est déroulé à Ventron, en France, et fut un réel succès. L objectif de ce séminaire résidentiel, bien connu des universités françaises, est de déployer les outils, les pratiques et les réflexions sur la vie professionnelle durant et après le doctorat. Cette année, le séminaire tiendra compte plus spécifiquement des besoins et du contexte multiculturel des doctorants UniGR, considérés, selon la Charte et le Code européens, comme des jeunes chercheurs en début de carrière. Il se concentrera sur la gestion de projet et le travail d équipe dans un contexte multiculturel et multidisciplinaire, avec une identité «Grande Région»... Vous êtes 60 participants d universités différentes et vous serez formés par des experts dans un esprit d ouverture. Vous apprendrez les incontournables de la gestion de projet (et pas seulement en matière de recherches), comment évaluer la dynamique d une équipe et comment devenir plus confiant et évaluer vos propres compétences. Objectifs : 1. Se familiariser avec les bases et les outils de la gestion de projet et en faire l expérience dans un environnement multiculturel et interdisciplinaire. 2. Sensibiliser aux compétences personnelles et professionnelles. Les compétences personnelles et professionnelles acquises durant le doctorat peuvent être appliquées dans différents types de projet. Les compétences manquantes doivent quant à elles être développées. 3. Mais également : En savoir plus sur les possibilités qui s ouvrent au-delà du doctorat, «Sortez des sentiers battus», accroître votre sensibilisation à différentes options de carrière. Améliorer votre créativité. Développer vos qualités de dirigeant (leadership). Réfléchir à votre apport dans une équipe. Faire l expérience de l interculturalité au travail. Affiner vos compétences de communication (brève présentation personnelle et professionnelle). La valeur ajoutée du séminaire : Le séminaire apporte une réelle valeur ajoutée en sensibilisant les jeunes scientifiques à leurs compétences et leur travail, et en leur permettant de mûrir en tant que professionnels. Les participants seront formés par des experts (d expérience équivalente) dans le domaine de la gestion de projet et des didactiques académiques. Les connaissances et la méthodologie de gestion de projet avancées seront transmises de façon pratique. Des activités extérieures, un jeu de rôle, des exercices en équipe, des simulations et une affaire criminelle mettront la créativité des participants et leur présence d esprit au défi. Pouvoir vivre ces aventures au sein d une équipe multidisciplinaire et multinationale fait de ce séminaire une expérience particulièrement unique et inestimable.

17 Détails concernant le programme 11 Jour 1 Après l arrivée des participants et leur installation dans les chambres, un café de bienvenue sera servi dans la salle plénière. À 11h00, la coordinatrice du projet Uni- GR-ULg, Isabelle Halleux, fera un discours sur le projet UniGR et Ansgar Berger, le coordinateur de l équipe de formation, présentera brièvement les points à l ordre du jour du séminaire. Ensuite, les 60 participants seront répartis dans quatre équipes, en veillant à avoir un maximum de diversité en termes de domaines de recherche et de nationalité/université. Après le déjeuner, les équipes se rendront à l extérieur pour participer à une aventure. Dans la continuité de leur travail d équipe, les équipes devront ensuite évaluer l activité extérieure et analyser leurs rôles, le leadership, les étapes du développement de l équipe et leurs forces personnelles. Pour finir, ils devront répondre à une question, à savoir : quels critères font d un groupe de personnes, et plus particulièrement un groupe de personnes extrêmement diversifié, une équipe de gestion fructueuse et efficace? Jour 2 La matinée du deuxième jour commencera à 8h30 dans la salle plénière avec une brève introduction aux bases de la gestion de projet et la présentation du «Projet X». Cet exemple amer d un projet cauchemardesque typique fournira une histoire à laquelle il sera fait référence à chacune des étapes suivantes du projet. En commençant par la phase d initiation d un projet, les participants devront imaginer une idée de produit et tenter de visualiser leur vision du Produit X. Peu de temps après, ils se lanceront dans un jeu de rôle difficile et délicat, en interprétant le rôle des parties prenantes et des membres de l équipe du projet. Après le déjeuner, la phase de la planification sera lancée, avec dans un premier temps, une introduction aux outils de planification standard, tels que WBS (Work Breakdown Structure), les graphiques Gantt et PERT, et leur application par rapport au projet X. L après-midi se teintera de rouge et une affaire criminelle sera ouverte. Attention au meurtre dans l équipe Le premier jour se clôturera sur des activités de détente, telles que du sport ou un concours de karaoké. FR

18 18 jour 3 jour 4 Après un nouveau début de journée dans la salle plénière à 8h30, les participants retourneront dans leurs équipes et reprendront leur travail sur la phase d exécution du projet. Ils devront faire face à différents niveaux et formes de conflits et essayer d imaginer des stratégies de gestion des conflits à appliquer dans le contexte de la gestion de projet et au Projet X bien entendu. l étape de clôture du projet montrera aux participants ce qu il convient de faire afin de terminer correctement un projet et, après le déjeuner, ils auront du temps libre afin de se préparer au moment fort de ce séminaire, à savoir la présentation des projets des quatre équipes. Chaque équipe aura la possibilité de présenter en quinze minutes son interprétation du Projet X. À la fin de chaque présentation, les experts, qui seront déjà arrivés pour le dîner scientifique, fourniront un retour détaillé sur les présentations. Après toutes les présentations, chaque participant sera invité à «rencontrer les experts» lors d un évènement décontracté qui clôturera la journée. En passant d une table à l autre, les participants pourront discuter alors de certains grands problèmes de gestion de projet avec les experts ou poser des questions sur les possibilités de carrière pour les docteurs. durant la quatrième journée, les participants pourront parfaire leurs connaissances acquises les jours précédents et évaluer les activités du séminaire d un point de vue individuel et collectif. les questions directrices pour cette phase seront : sur quelles forces puis-je m appuyer lorsque je dois gérer des projets? Et plus particulièrement lorsque je suis en présence d une équipe diversifiée? Quelles compétences devrais-je développer dans un futur proche afin d améliorer mes capacités en matière de gestion de projet? Comment puis-je utiliser ce que j ai appris jusqu ici dans mon projet doctoral? Après le déjeuner, l évaluation du séminaire aura à nouveau lieu dans la salle plénière et aux environs de 15h00, il sera temps de se dire au revoir.
